Choose one scenario from the list below and write an appropriate message. Depending on your audience, your
message might be in the form of a letter, or it might be a memo â you decide. While the details of the
scenario cannot be changed, you are free to make up the details in each case.
A. You work for a t-shirt graphic design company. Your company has grown since its founding two years ago
and will be moving to a larger location that will allow for additional staff to fill design orders. You wish
to notify your biggest t-shirt supplier, Cotton Works, to ensure a smooth transition to your new location.
Previous dealings with Cotton Works have demonstrated that your contact there, John Green, is not prompt in
responses. Write to John Green explaining your companyâs move and asking him to hold shipments to your
company while your company moves during the week of March 7-13. You want to avoid the possibility of
shipments being lost. You may invent addresses, phone numbers, and additional needed details. Include a
polite request for a response from Mr. Green. Make this message as authentic as possible.
B. You are the owner of Stoneware, Inc., a rapidly growing floor tile manufacturing company in Southwest
Michigan. Your companyâs part time marketing person is also acting as the company webmaster and he has been
too busy to be able to perform his duties up to standard. To help ease the load, you have decided to
purchase and install new content management software that will make updating the website much easier. The
only downside to this plan is that there is a mandatory meeting for the managers after work on Friday to
learn the new software.
Write a message to the department managers informing them of the new software and the meeting on Friday. The
message needs to be written so that the webmaster does not feel he has been singled out for unsatisfactory
work and also so that the managers will not view the mandatory meeting negatively. Make up the necessary
details and make the message as authentic as possible.
Audience: These problems all have specific audiences. Write with those persons (and roles) in mind.
